Your practice, documented properly. For your team, and nobody else.
Most of what makes a program work lives in the heads of the people delivering it. We get it out, write it down, and build it into something your staff actually use — held privately, and controlled by you.
The problem
Both of these get worse quietly, until the day they don’t.
Tender quality is lower
Without clear documentation it's hard to show a funder your program's uniqueness or the detail of what works — the keys to a successful tender.
Compliance burden
When an auditor or accreditor asks how the program actually runs, undocumented practice leaves you scrambling for an answer instead of pointing to one.
Who it is for
Organisations that are not trying to spread a practice through the sector — they are trying to deliver it consistently themselves. Keeping fidelity to a model across sites. Getting a new practitioner useful in weeks rather than months. Making sure a program survives the person who built it leaving.
How it works
It is a consulting engagement built on ShareCraft, so the heavy lifting is ours.
1
We take everything you already have
However incomplete. Half-finished manuals, training slides, a policy document nobody has opened since 2019, notes in somebody's drive. Nothing needs tidying first, and the state it is in is not a reason to wait.
2
We talk to the people who do the work
Interviews and workshops with your practitioners, and voice memos where sitting down for an interview is not realistic. Most of what makes a practice work has never been written down, and this is how it gets out.
3
We draft the whole thing
A full interactive practice: the field guide, the resources, the who, the tasks, the outcomes, and a case book. Not a document — a practice your staff can work from.
4
Your practitioners review and edit it
They correct what we got wrong and add what we missed. A practice nobody recognises is one nobody uses, so this step is not optional and not a formality.
5
Your staff get access, and you control who
We set up everyone who needs it. From there your organisation manages access, including any delivery partners you want to bring in. Nothing is listed publicly and nothing is licensed out.
6
It keeps growing after we leave
Practitioners are trained on it, and can add practice notes, voice memos and short videos as they go. The documentation stops being a snapshot of the day it was written.
What it costs
Two things are priced, and we separate them so neither is a surprise. There is the documentation work itself, quoted once on how much of a program there is and how many practitioners we talk to. Then there is an annual fee to host it, keep your staff in it and keep it growing.
We scope both in the first conversation, once we have seen what you have. If what you want is smaller than this, we will say so.
Start with a conversation
Half an hour, no obligation. Bring whatever documentation you have, or none. We will tell you what we would do with it and roughly what it would take.
